Notes from the President
In my prior column, I asked the rhetorical question all enterprises ask themselves "How can we be better?"

Here's what we are doing to support our partners.

AP - the #1 workflow app
First, we chose the most common workflow application, accounts payable [AP] and developed a complete program product for it.

Partners can now deliver a much more complete, custom AP workflow solution much faster and at much less cost to their document management customers.

They also have the benefit of being able to demonstrate each element of the comprehensive system to customers beforehand; which makes working out the uniqueness of the customer's own AP system far more precise and efficient.

Lastly, it speaks to something we all want as customers - we want it now. Our packaged solution enables partners to deliver the custom fit to customers much more quickly.








White paper and case story library
For solutions not yet packaged or that do not lend themselves to being packaged because of their wide variability, we will be building a library of white papers and case stories so partners have more detailed treatments of workflow possibilities when discussion possibilities with clients.

We have more plans too.

Case Study - Trucking Co. Saves Big $$$ on Driver License Renewals
Driving big rigs is not like going to the local DMV or renewing your license by mail. Commercial (CDL) licensed drivers need to pass physicals and complete more extensive renewal docs to renew their licenses. For a large trucking firm with lots of drivers, this is an ongoing and formerly complicated, expensive, manual, paper process.

Now, using AX & Workflow Manager, they automate the process.

Docs from Multiple Sources at Different Times
Drivers complete their renewal docs as before. These are submitted and scanned into AX along with a copy of their existing driver's license. As soon as they get their physical and are issued a medical certificate with an expiration, that is also scanned and automatically merged with the corresponding driver's license and renewal docs and routed electronically to the relevant State Department of Motor Vehicles to be reviewed, remarked on and returned or approved and renewal issued.

Each State has own Renewal Cycle and Policies
This seems pretty simple, and now it is, but each state has their own renewal cycle, procedures and fees. Workflow Manager can store these many State specific policies as routing rules in Workflow Manager. Now reminders for expiring licenses and medical certificates can be triggered and sent, checklists for all necessary docs. and any other test that is needed to completely automate a formerly troublesome manual process.

What had once been a process that required paper documents be saved until the documents for the physical were available, then located and manually located and filed before bundling to send out to the relevant State DMV is now an electronic process that has no slack time, no manual file time, no lost documents, reminders where they formerly depended upon drivers and a much easier archive and audit.

Savings over $100,000/year
The savings to the trucking firm is well over $100,000 each year in staff time alone. When the cost of lost driver time is added, it's even better.

Case Study - Workflow Saves Import Taxes Speeds Cross-border Shipping
An apparel business opened stores in Toronto and needed to start shipping goods from the US and overseas manufacturers to there. Shipping apparel to Canada requires an enormous amount of documentation; otherwise they're liable for unwarranted customs duties and penalties under NAFTA.

Opportunity...
Some detailed business analysis was done to determine all the scenarios in which goods were sent to Canada, and identified all the documents that were required in each scenario.

Track which documents are needed for each shipping scenario
A workflow system was designed in which documents, each of which had a document type and a shipment number, could be scanned into the system from multiple locations. If it was a new shipment number, the application requested which of the scenarios the shipment represented -- which indicated which documents were required (and which were optional) for the shipment.

Track which shipping documents have arrived
As documents were scanned in, they were archived and associated with a shipment so the system could track which documents had arrived for each shipment. The workflow system included a test to discern when a shipment was complete -- meaning when all the required documents had arrived -- and put it into a manager's queue for final review and approval, after which it left the system.

Track which documents are missing
The system also kept track, by shipment scenario, of all the incomplete document sets for shipments. The shipping clerks, the accounting department, and the inventory people had access to these queues, and could easily see which shipments were missing key documents. That the system told them what was missing -- as opposed to what was there -- made it easier for them to chase down the missing documentation and get it scanned into the system The client has opened additional stores in a second Canadian city, Ontario, and has some new scenarios planned in the future

Soft-coded organizational and document requirements enable easy updating
The system was constructed without hard-coding any organizational information, so the addition of new scenarios, and the specification (or changes to the specification) to the set of documents required and optional in each scenario, is completely controlled by database entries, not code.
